Internal guidance for application updates, payroll tax table updates, and user response procedures
Audience | QuickBooks users | Owner | IT Operations |
Applies to | QuickBooks Enterprise and all company files | Status | Current standard |
Key instruction: If QuickBooks prompts you to update the application or payroll tax tables, do not run the update yourself. Submit a ticket to IT with the prompt details and company file name. |
Purpose
This guidance explains how QuickBooks Enterprise updates are handled at INTEGRIS and what employees should do if they see an update prompt. The goal is to keep all QuickBooks company files synchronized, stable, and aligned with payroll update requirements.
Background
INTEGRIS runs QuickBooks Enterprise with multiple company files. Because those files may be opened by different users and workstations, application updates and payroll tax table updates must be coordinated centrally by IT. Updating one company file or one workstation before the others can create version inconsistencies and may interrupt normal accounting or payroll activities.
Why Updates Are Managed Centrally
• Company file consistency: All active company files must remain compatible with the installed QuickBooks Enterprise release and update level.
• Payroll accuracy: Payroll tax table updates can affect deductions, contributions, and statutory calculations. They must be verified before processing payroll.
• Reduced operational risk: Centralized updates reduce the risk of update failures, version mismatches, data file prompts, and avoidable downtime.
• Controlled timing: IT can schedule updates outside critical processing windows, including payroll runs, mid-year updates, and year-end activities.
What To Do If You Are Prompted To Update
Step | Action | Details |
1 | Do not run the update | Do not install application updates, maintenance releases, or payroll tax table updates independently. |
2 | Capture the prompt | Record the exact message, any error code, and the company file that was open. A screenshot is preferred where possible. |
3 | Submit a ticket to IT | Send the details through the IT ticketing process so the update can be reviewed, prioritized, and tracked. |
4 | Wait for IT scheduling | IT will validate the update and schedule it across the applicable company files and workstations. |
5 | Resume after confirmation | Only proceed once IT confirms the update has been completed or provides specific follow-up instructions. |
Payroll Tax Table Updates
Payroll tax table updates are seasonal and may be released around year-end, start-of-year, and mid-year legislative changes. IT tracks these updates and coordinates installation when required. Users should still report any prompt or payroll calculation concern so the installed tax table version can be verified.
• If an update prompt states that payroll tax tables are out of date, submit a ticket before continuing.
• If tax calculations appear incorrect, unusual, or inconsistent with expectations, submit a ticket immediately.
• Do not attempt to download, apply, or force payroll updates without IT direction.
Information To Include In The IT Ticket
• Your name and the affected workstation, if known.
• The QuickBooks company file that was open when the prompt appeared.
• The exact prompt or warning message, including any error code.
• Whether the prompt relates to a QuickBooks application update, payroll tax table update, or another update type.
• A screenshot of the prompt, where possible.
• Whether payroll or time-sensitive processing is impacted.
Roles and Responsibilities
Role | Responsibility |
QuickBooks users | Do not install updates. Report prompts, payroll warnings, error codes, and company file details to IT. |
IT | Validate update requirements, coordinate timing, apply updates centrally, and confirm completion. |
Payroll/accounting teams | Report payroll calculation concerns and avoid processing payroll if update status is unclear or if tax calculations appear incorrect. |
Bottom line: QuickBooks updates are centrally managed by IT. If you see an update prompt, stop and submit a ticket so all company files remain synchronized and supported. |
