Your mailbox or archive is full — what to do

What to do when Outlook warns that your mailbox or online archive is almost full.

Check how much space you're using

  1. Go to outlook.office.com and sign in.
  2. Click the gear (Settings) → GeneralStorage.
  3. You'll see which folders are using the most space.

Free up space

  • Empty Deleted Items and Junk Email — right-click the folder → Empty folder.
  • Remove large attachments — sort a folder by Size and delete, or save-then-delete, the biggest items.

About your online archive

Older mail is moved automatically into your Online Archive (a separate folder in Outlook) to keep your main mailbox lean. You can still search and open it normally.

If you see "Your archive mailbox is almost full," submit a ticket to IT — we increase the archive quota centrally. You don't need to delete archived mail yourself.
